Corporate relocation

A customer of ours was recently involved in an office move. The entire office was relocating over a weekend and needless to say there was much to be sorted.

Their method of ensuring everything went smooth was to move all non-essential items (spare desks, office equipment – even the excess stationary) to our offside self storage facility in the preceeding weeks. This meant that on the big move day there was, in their estimation, less than half the items to move.

The move weekend was a couple of weekends ago and everything went perfect. They plan on moving the rest of their items to the new office at their leisure over the next few months.

Here is a list of the questions you should ask prior to choosing a self storage facility for your belongings. Most people will ring a few places to get a good idea of a fair price but there should be more questions asked whn you ring a self storage facility.

1. What Kind of Access Will You Have?
To some people this is important and others it is not. Some companies charge for access to your goods while others let you come and go as you please during their opening hours. If you are storing for a business you may even want to track down a company that gives 24 hour access. If they do offer this there is usually a small charge so don’t forget to ask how much.

There are of course people where access is not an issue, if you are going travelling for a year or working abroad you probably don’t need regular access and certainly don’t need 24 hour access.

2. Security
What you should require is a large perimeter fence, recorded CCTV and if they offer 24 hour access ensure they monitor who is coming in and going out. A good fence and CCTV is usually enough to put most people off.

3. Do They Require A Deposit?
When you’re moving house or business you’ve got a lot of money going the wrong way out of the door. To have to pay a deposit upfront does not help your cash flow. Some companies do ask for deposits others don’t. You need to find out if they require a deposit and how much – usually done in number of weeks and it relates to what room size you have. Remember this is on top of paying up front for your storage, something else you need to look out for…

4.How much in advance do you need to pay?
To benefit from advertised discounts you often need to pay in advance above what is normally required (4 weeks normally). Some will ask you to pay as much as three months upfront and a deposit – ouch!

5. What happens if you move out early?
Will they refund you for the days you haven’t used? Imagine you’ve paid upfront for 12 weeks and a deposit then realise you only need it for four weeks. It does happen quite regularly. Will they refund you part or all of the days you’ve not used. It should be like a mobile phone bill where they only charge you for the seconds you use.

6. Who has access to your unit / room / container?
At first you may think the best answer to this is “only you” but there are benefits for the storage company keeping a key to your lock up. What you want is choice, can I be the sole key-holder and give you a key if/and when I require? Ideally what you want is to have a brand new lock that has two or three keys with it. Then you and whoever else needs access can have a key and no one has had the key before who could have made copies. Then if you want (and the storage company accepts) you can leave a key with them so they can accept deliveries on your behalf – a great service offered by some storage sites free of charge.

7. Where are they located?
Location is a key element in your choice of storage facility, in fact more people choose their storage facility because of location than any other reason (including price). It turns out that you dear reader, want to be close to your goods / worldly possessions. It makes sense, after all 80% of people using storage are residential customers and a large proportion of those are moving house. So who wants to be lugging their house contents 15 miles down the road when there is a storage place just around the corner.

8. Are they a nice company?
I’m not sure if this should be point one or point eight as it can be the most important one of all. What you want is a company keen for your business and friendly, both at the same time. What you want is their undivided attention, a tour of the facility (if you’re visiting in person) and don’t be scared if they’re keen for your business, hopefully it will mean they will value you.
